Children’s charity Barnardo’s has chosen cloud collaboration provider Huddle to enable staff to share meeting notes.
Volunteers can access Huddle’s cloud from any connected device to securely share information on any of the 200,000 children they work with each year.
Activities they make use of Huddle to plan range from day trips to meticulous notes on meetings with families and children, where occasionally it is necessary to record all interactions to ensure there are no gaps in someone’s story when dealing with vulnerable children.
Tom Rees, assistant director at Barnardo’s, said Huddle is easier to use than their previous systems, which worked on a similar basis but required too much training to use.
He added: "Regardless of whether a volunteer had access to our internal system or extranet, training and time resources were becoming a real challenge and we needed a much simpler but still secure way to share sensitive information.
"Email simply isn’t secure enough and we’d used Huddle on a project previously so knew it met our security requirements."
Each volunteer can only access folders specifically created for them, into which they load their notes.
Once a volunteer has uploaded notes into the Huddle cloud, they notify a Barnardo’s staff member, who transfers the system onto the charity’s own central system for archiving.
The charity now plans to use Huddle to collaborate with other organisations, for instance when bidding on partnership projects.
